Privacy Policy

Last updated: October 28, 2026

This policy explains what personal information Sengo Technologies Inc. ("Sengo", "we") collects on sengo.com, why we collect it, who we share it with, how long we keep it and how to exercise your rights. It is intended to meet Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for people in the European Union or the United Kingdom, the General Data Protection Regulation (GDPR).

1. Person in charge of the protection of personal information

The person in charge of the protection of personal information at Sengo is Helsa Sanschagrin, Chief Operating Officer. For any question, request or complaint about your personal information, write to legal@sengo.com.

2. Information we collect

Information you give us

  • Contact, audit and event forms: name, work email address, company, phone number (optional), message and, for audit requests, your website address and current platforms (CMS, DXP, cloud provider).
  • Your consent choices: if you agree to receive our communications, we keep that consent, its date and the form you used.
  • Exchanges with our team: the content of your emails and notes from our meetings.

Information collected automatically

  • Technical and browsing data: IP address, device and browser type, language, pages viewed, referring site, campaign parameters (UTM), scroll depth, clicks on buttons and external links, and when a form is started or sent.
  • Technical identifiers: a session identifier and, only if you accept audience measurement cookies, random visitor identifiers stored in your browser by our website platform and by HubSpot. See our Cookie Management Policy.
  • Organization associated with a visit: only if you accept audience measurement cookies, our audience measurement tool may use technical data to infer the organization or company associated with a visit, so we can understand which organizations are interested in our services.

We do not knowingly collect information about people under 14. Our site is intended for organizations and their professionals.

3. Why we use this information

  • To answer your requests, carry out the audit you asked for and follow up with you about it.
  • To schedule and hold meetings, and to manage registrations for our events (Sengo Lab).
  • To send you our communications, only if you have agreed. You can withdraw that consent at any time.
  • To measure site traffic and improve its content and how it works.
  • To keep the site secure and prevent fraud and abuse.
  • To meet our legal obligations.

We do not use your information to make a decision about you based exclusively on automated processing. We do not sell your personal information.

4. Consent and legal bases

We collect your information with your consent, for the purposes stated when it is collected. When you fill in a form, you consent to our using that information to handle your request. Consent to receive our communications is separate and optional.

For people covered by the GDPR, our legal bases are: your consent (communications, non-essential cookies), steps taken at your request before entering into a contract (answering a request, an audit, a proposal), our legitimate interest in measuring traffic and securing the site, and compliance with our legal obligations.

5. Who we share your information with

We share your information only with providers that help us run the site and our services, and only as far as needed. They act on our behalf and are bound by confidentiality and security obligations.

  • Website hosting, forms and audience measurement: Ploy, our website platform.
  • Customer relationship management and meeting scheduling: HubSpot, which stores the information you send through our forms and the meetings you book through our scheduling link and, only if you accept audience measurement cookies, the pages you view on our site.
  • Event registration: Luma, for Sengo Lab events.
  • Videos: YouTube (Google), only when you play a video.
  • Additional audience measurement: Google Analytics, only if you consent.
  • Email and office tools our team uses to answer you.

We may also disclose information when the law requires it, to protect our rights or as part of a business transaction, under the conditions set by law.

The AI hours estimator at optimisation.sengo.com is a Sengo tool. Information you enter there is used for the purposes stated in that tool.

6. Communication outside Quebec

Some of our providers store or process information outside Quebec, including elsewhere in Canada, in the United States or in the European Union. Before such a communication, we assess whether the information will be adequately protected, and we govern it by contract. For people covered by the GDPR, transfers outside the European Economic Area rely on mechanisms provided by the GDPR, such as standard contractual clauses or an adequacy decision.

7. How long we keep information

We keep your information only as long as needed for the purposes it was collected for, or longer when the law requires it.

  • Contact and audit requests that do not lead to an engagement: deleted or anonymized within 3 months of our last exchange.
  • Clients: for the duration of the engagement, then for the period required by law, for example for accounting and tax records.
  • Consent to communications: as long as the consent is valid. If you withdraw it, we stop writing to you and keep only proof of the withdrawal.

8. Security and confidentiality incidents

We apply reasonable security measures based on how sensitive the information is: encrypted connections (HTTPS), access limited to the people who need it and providers that follow recognized security standards. No transmission over the Internet is completely secure. We keep a register of confidentiality incidents and, when an incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the people concerned, as the law requires.

9. Your rights

Depending on the law that applies to you, you can:

  • find out whether we hold information about you and access it;
  • have inaccurate, incomplete or ambiguous information corrected;
  • withdraw your consent at any time, including to communications;
  • ask us to stop disseminating your information or to de-index a hyperlink that gives access to it, in the cases provided by law;
  • receive the information you gave us in a structured, commonly used technological format (portability);
  • for people covered by the GDPR: ask for erasure of your data, restriction of its processing, or object to processing based on our legitimate interest.

To exercise a right, write to legal@sengo.com. We may ask you to confirm your identity. We reply in writing within 30 days of receiving the request.

If you are not satisfied with our answer, you can file a complaint with the Commission d'accès à l'information du Québec, the Office of the Privacy Commissioner of Canada or, in the European Union, your country's data protection authority.

10. Cookies and similar technologies

Our site uses cookies and similar technologies to work and to measure traffic. Non-essential cookies, such as Google Analytics, HubSpot and our platform's visitor identifier, are only activated with your consent. Details are in our Cookie Management Policy.

11. Third-party sites

Our site links to third-party sites, such as those of our technology partners. Those sites have their own privacy policies, which we encourage you to read.

12. Changes to this policy

We may change this policy. The date of the last update appears at the top of the page. If a change significantly affects how we use your information, we will say so clearly on the site.
